What document management software does

Document management software gives every policy, price list and guide a single home, so people stop asking which version is current or where the file lives. Documents sit in folders, keep their older versions, and can be limited to the teams who need them.

Small businesses often keep files in a shared drive that grows messy over time. The Documents app does not replace your drive. It links to your files there and adds the order, versions and access that a plain folder does not give you.

What small teams get with the Documents app

  • Folders and subfolders

Organise documents up to three levels deep, and reorder folders by dragging or with the arrows.

  • Files stay where they are

Each document links to a file in Google Drive or anywhere else, so nothing is copied or stored twice.

  • Versions you can trust

Add a new link with a note, keep every older one, and make an earlier version current again if you need to.

  • Access by department

Limit a document to one or more departments. Staff outside them do not see it, and admins see everything.

  • Recycle bin

Archived documents wait in the bin and clear on their own after the days you choose, or you can restore them.

  • Search and filters

Find a document by name or kind (PDF, Doc, Sheet, Slides), or drag a row onto a folder to file it.

  • A public library for your website

Mark chosen folders public, then share a link or paste one line of code to show them on your own site.

  • Private unless you say so

Folders are private by default. Only what you mark public ever appears outside, and the bin is never shown.
